During an external company employee’s entry process, much more happens in modern business than just work instructions given in the department. A number of questions must be answered and tasks carried out before the employees - or employees of external companies - can work productively: How should his working hours be depicted in the recording of time worked? Has he already been included in the duty roster program? Does the employee require a training course? What corporate network data should he be able to access? Has he already received his work clothes? Should he be able to pay using his company ID in the canteen? Which items which are needed for his work are to be lent to him? That is not sufficient, however. The entry process really first becomes complex when the job is assigned to different cost units or even paid by a third party. In current business practice, many employees are involved in this process - so much can go wrong along the way due to far-flung communication processes. If illness, omissions, technical difficulties are added, it can take weeks before an employee can work fully productively.
Active working hours
If the external company employee is entered in the systems and has all the necessary working materials, it is important to give him appropriate access to the company premises for the duration of his assignment. For productive working hours, it must be ensured that the employees of external companies are guaranteed access to all relevant work areas via the access control. Depending on the project or department affiliation, this may change from time to time. Here the external company employees must be able to be assigned the same corresponding access as the company's own employees.
Exit
Ultimately, the optimisation of company security is one of the top priorities - particularly when third parties are involved, such as visitors and external company employees. There are still companies whose efforts are limited, especially for employees who only work three to four months in the company. But especially here, there are security issues to settle: Have all accesses to the corporate network been blocked? Has the employee returned all keys? Are all borrowed objects again in the possession of the company? Even more important is the question about the reason for leaving. Because if the outgoing external company employee is a persona non grata, this must be recorded and possible renewed access to the premises prevented via a ban on plant entry. In this way, security gaps in companies are closed which do not exist for their own employees but for visitors and external company employees are largely unresolved.
